From blank stares to clear plans: making training work for everyone

As part of my role at BICSc, I get to visit a diverse range of sites and companies across the UK. Whether I’m there as an auditor, trainer, or verifier, whichever hat I’m wearing, I often ask to see the company’s training plan. And often, I’m met with a blank stare or a comment along the lines of: “Oh, I’ve got one in my head.” Honestly, that happens more times than you’d think, which is why I wanted to talk about why having a clear, written training plan really matters.

Training plans are important in any workplace. They make sure everyone’s on the same page and working to the same standards. Whether you’re bringing a new person on board or supporting a long-standing team member, the goal is the same: keep everyone’s skills and knowledge consistent. And the best way to do that and track progress is with a solid training plan. It helps ensure all employees get the same quality (and quantity) of training, no matter their role or how long they’ve been with the company.

Workplaces change fast these days, and training plans help businesses adapt. Whether it’s new tech or updated regulations, training lets employees react quickly and confidently. Constant learning keeps teams flexible and competitive.

In an industry like ours, where the work is continuous and operates 24/7, effective communication is essential. Cleaning teams must co-ordinate tasks, report issues promptly, and always uphold safety and quality standards. A well-structured training plan equips the cleaning operative with the correct terminology, clear reporting lines, and the confidence to raise concerns or request support when needed. Consistent training ensures that all team members receive the same information, fostering a shared understanding of procedures and expectations. This uniformity not only strengthens teamwork but also reduces the risk of errors caused by miscommunication. When your cleaning operatives are trained to communicate effectively, it enhances operational efficiency, improves service quality, and contributes to a safer, more respectful working environment. Ultimately, a solid training plan empowers your cleaning operatives to communicate with clarity and confidence, key elements for individual success and strong team performance.

Training plans also play a big part in helping employees grow and reducing staff churn rates. When a company invests in training, it shows they care about their people. That leads to happier employees who are more likely to stay. Plus, training gives people a clear path to develop new skills and potential to move into leadership roles down the line.

Another important point, a written training plan helps with compliance. In our line of work, we often deal with chemicals, equipment, and strict hygiene standards, so effective training is key to avoiding accidents and mistakes. Having everything documented also shows that the correct training was given. This can help if there’s ever an incident at work, as it proves that steps were taken to keep everyone safe and follow the rules.

While no one follows a training plan to the letter all the time – that’s totally fine, sometimes life gets in the way of the best laid plans! But think of a training plan as a guide you can tweak as you go, it is meant to be flexible and adjusted as needed. What really matters is that it shows you’re serious about training and investing in your team’s growth.

So hopefully, next time I ask to see a company’s training plan, I’ll get handed a well-prepared document, not a blank stare.
