Leading theatre Management Company looking for cleaning partner

HQ Theatres & Hospitality Ltd (HQT&H) is a leading operator of theatres, arts centres and concert halls in the UK. Currently the group includes 18 auditoria in 12 venues ranging from 2400 capacity concert halls to 200 seat community arts centres, across 10 contracts with local authorities.

HQT&H is looking to embark on a competitive tender process for the group’s commercial cleaning contract. The successful bidder will display that they are capable of providing a bespoke cleaning service for each one of the multifaceted buildings with varying operational functions. Entertainment spaces, offices, front and back of house will all need to be maintained by the successful cleaning provider.

Detailed contract terms, including a detailed breakdown of venue by venue service, are to be agreed with the successful bidder and will include, but not be limited to, minimum service and method of monitoring, minimum equipment levels and management of consumables. HQT&H envisages that the initial contract will be based on a 2 year agreement and rolling thereafter with appropriate provision for termination on both sides.

The theatres involved in this process include:

  • The Beck Theatre, Hayes;
  • Wycombe Swan Theatre, High Wycombe;
  • The Churchill Theatre, Bromley;
  • The Orchard Theatre, Dartford;
  • Wyvern Theatre and Arts Centre, Swindon;
  • Cliffs Pavilion, Southend-on-Sea;
  • The Palace Theatre, Westcliff-on-Sea;
  • Watford Colosseum, Watford;

G Live, Guildford will be priced as a separate option as it may be excluded from the contract in preference of retaining the existing cleaning service provider.

Interested contractors will be asked to complete a short qualification questionnaire. Shortlisted contractors will then be asked to conduct site visits and compile a tender submission. The successional contractor will be required to mobilise the new contract with regards to existing cleaning personnel (most from the existing contract cleaner and some venue direct staff in one venue) in compliance with TUPE regulations and guidance.
